Terms of Service
Last updated September 25, 2026
1. The agreement
These terms are an agreement between you and Signet ("Signet", "we", "us"), which provides the estimate, invoice, job-management and AI Front Desk software at signetcrm.com (the "Service").
"You" means the business that signs up for Signet and anyone who uses the Service on its behalf. By creating an account, signing in or paying for the Service, you agree to these terms. If you're agreeing for a business, you confirm you're allowed to bind it.
These terms include our Privacy Policy, Text Messaging Policy and Data Processing Addendum.
2. Your account
- Give us accurate business and contact details, and keep them up to date.
- Keep your logins private. You're responsible for everything done under your account, including by staff you give access to.
- Tell us straight away at info@signetcrm.com if you think someone has got into your account.
- You must be at least 18 and using Signet for a business, not personal or household use.
3. Plans and billing
- Monthly subscription. Plans are billed monthly in advance through Stripe, on the card you give us, until you cancel. Prices are shown when you sign up or in your invoice.
- Price changes. We'll give you at least 30 days' notice by email before a price change takes effect. If you don't want the new price, you can cancel before it applies.
- No partial refunds. When you cancel, you keep access until the end of the month you've paid for. We don't refund partial months or unused allowances, except where the law requires it.
- Failed payments. If a payment fails and isn't fixed within 14 days, we may pause your account until it is. Your data is kept while the account is paused.
- Taxes. Prices don't include sales tax. Where tax applies, it's added to your invoice.
- Usage allowances. AI features include a monthly allowance that's generous for normal shop use. If an account goes well beyond normal use, the feature pauses until the next month, and we'll talk to you about a plan that fits before charging anything more.
4. Your data
- It's yours. Your customers, jobs, estimates, invoices, photos, call transcripts, texts and other records you put into Signet belong to you. We use them only to run the Service for you, support you, keep it secure and meet legal obligations.
- Kept apart. Every business has its own separate database. We don't sell your data or your customers' data, and we don't use it to market to your customers.
- Service providers. To run the Service, some data passes through the companies we rely on — hosting, Stripe for payments, Telnyx for phone calls and texts, and the AI providers below. They're only allowed to use it to provide their service to us.
- Your customers' information. You're responsible for having the right to put your customers' information into Signet and to contact them through it, and for any notices your customers are owed by law.
- Getting your data out. You can ask us for an export of your records at any time.
- More detail. Our Privacy Policy explains what we collect, and our Data Processing Addendum covers how we handle your customers' information on your behalf.
5. AI features
Signet uses AI models from Anthropic (Claude) and Google (Gemini) to write estimates from your description, read receipts, answer calls and reply to texts. The content these providers generate for you is yours to use.
- Check before you send. AI can get things wrong — prices, parts, labor time, totals or wording. You're responsible for reviewing every estimate, invoice and other document before it goes to a customer, and for the prices you charge.
- Not professional advice. Nothing the AI produces is legal, tax, accounting or safety advice.
- No training on your data. We send your information to AI providers only to produce the result you asked for, through business accounts that don't use it to train their models.
6. AI Front Desk (calls)
The AI Front Desk is an optional add-on that answers your shop's calls, books appointments and takes messages.
- Your phone number. If we provide a Front Desk number, it's held on our phone carrier account for your use while you subscribe. If you cancel, ask us within 30 days and we'll help you move the number to your own carrier. After that it may be released.
- Call records. Calls are processed live by AI, and a written transcript and summary of each call is saved to your account. You're responsible for complying with the laws that apply to your calls, including any requirement to tell callers that calls are recorded, transcribed or handled by an automated system. You can change what the Front Desk says when it answers in its settings.
- Not for emergencies. The Front Desk can't contact emergency services and isn't a substitute for a person where one is needed.
- It can make mistakes. It may mishear callers, get details wrong or miss a message. Check bookings and messages it creates, and don't rely on it as the only way customers can reach you.
- Fair use. The Front Desk plan includes the call minutes described when you sign up. Minutes are for your own shop's customer calls, not for resale, call centers or automated calling.
7. Text messages
Where texting is turned on, your Front Desk number can receive texts and reply to them automatically.
- Replies only. Signet texts customers about their jobs, appointments, estimates and invoices, and replies to messages they send. It isn't for marketing or bulk messages, and you may not use it for either.
- Consent. You're responsible for making sure you have permission to text each person, and for complying with the Telephone Consumer Protection Act and similar laws.
- Opting out. Anyone who texts STOP is unsubscribed straight away and gets no more texts from that number until they text START. HELP returns the shop's contact details. You may not re-subscribe someone who opted out.
- Carrier registration. US carriers require business texting to be registered. You agree to give accurate business details for that registration, and understand that carriers may filter or block messages, so delivery isn't guaranteed.
- Message frequency varies with your conversation. Message and data rates may apply.
- Full details, including how customers opt in, are in our Text Messaging Policy.
8. Card payments
- Card payments on your invoices are processed by Stripe through your own Stripe account. Money goes straight from your customer to you — Signet never holds it.
- Your use of Stripe is governed by Stripe's own agreement with you. Refunds, disputes, chargebacks and Stripe's fees are between you, your customer and Stripe.
- You can disconnect Stripe from Signet at any time in Settings.
9. Signatures and documents
Signet lets your customers approve estimates and sign forms electronically, and keeps a record of when and how each approval happened. Signet provides the tool; you're responsible for your own documents, prices, warranties and terms, and for deciding whether an electronic approval is enough for a particular job.
10. Acceptable use
Don't use Signet to:
- break any law, or mislead, harass or defraud anyone;
- send spam, marketing texts, or messages to people who haven't agreed to hear from you;
- store or send content you don't have the right to use;
- try to get into another business's data, test or bypass our security, or overload the Service;
- copy, resell or rebuild the Service, or scrape it with automated tools.
We may suspend an account that puts the Service, other customers or the phone network at risk. Where we can, we'll tell you first and give you a chance to fix it.
11. Availability and changes
- We work to keep Signet running and your data backed up, but we don't promise it will be available at all times or free of errors. Some outages come from providers we rely on.
- We improve Signet regularly and may change or remove features. If we remove something important you're paying for, we'll tell you in advance.
- We may update these terms. For significant changes we'll email you at least 30 days before they take effect. Continuing to use Signet after that means you accept them.
12. Cancelling and ending
- You can cancel at any time by emailing info@signetcrm.com. Cancellation takes effect at the end of your paid month.
- We can end your account with 30 days' notice, or straight away for a serious or repeated breach of these terms or non-payment.
- After your account ends, you have 30 days to ask for an export of your data. After that we delete it, except for anything the law requires us to keep and backups that expire on their normal schedule.
13. Disclaimers and liability
The Service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement.
To the fullest extent the law allows, Signet is not liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or business, even if we were told they were possible. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim arose.
You agree to cover Signet for claims brought by third parties — including your customers — that arise from your documents, prices, work, calls, texts or breach of these terms or the law.
14. Governing law
These terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Texas, and both sides agree to those courts' jurisdiction. Before going to court, we both agree to try to settle the dispute informally for 30 days.
If any part of these terms can't be enforced, the rest still applies. Not enforcing a term straight away doesn't mean we've given it up. These terms are the whole agreement between us about the Service.
15. If you're a shop's customer
If you got an estimate, invoice, form or text from a business that uses Signet, that business is responsible for its work, prices and dealings with you, and for how it uses your information. Signet just provides the software. Questions about your job, a charge or a refund should go to the business. To stop texts from a business's number, reply STOP.
